Equipment - Trucks

In QuickManage, every truck in your fleet needs to be registered to ensure proper dispatching, compliance tracking, and payroll deductions. This section walks you through the process of manually adding a truck, including operational details, ownership classification, and linking essential in-cab equipment for automated reporting and cost management.


Adding a New Truck

To add a truck to your QuickManage account, follow these steps:


Step 1: Go to Equipment

Navigate to Equipment > Trucks and click Add New.

You have two ways to add a truck:
  1. Manual Entry

  2. AI-powered qm-GPT (Recommended)


Step 2: ✨Add via qm-GPT (Fast & Smart)

Let AI handle the data entry for you.

Step 1: Click Add New and choose qm-GPT
Step 3: Upload your truck’s registration document (PDF or image)
Step 4: The system will automatically extract:

  • VIN number

  • Make & Year

  • License plate and state

  • Fuel type, weight, and axles

  • Ownership details

Step 5: Review and confirm the generated fields
Step 6: Click Add to finalize

💡 This method saves time and reduces manual errors. Make sure the document is clear and legible.


Step 3: 📝 Add Manually

If you prefer to enter details yourself:

  • Step 1: Fill Out Unit Details

    Unit #
    ➤ Internal truck number used for identification across your operation.

    In Service Date
    ➤ The date the truck began operating in your fleet.

    VIN #
    ➤ Vehicle Identification Number. Enter manually or use lookup.

    Country
    ➤ Choose the truck’s registration country:

    • United States

    • Canada

    • Mexico

    License Plate #
    ➤ The official license plate number.

    State
    ➤ Issuing state for the license plate.

    Make
    ➤ Manufacturer (e.g., Freightliner, International, Volvo, etc.).

    Year
    ➤ The truck’s model year.

    Fuel Type
    ➤ Default is Diesel. You can select from Diesel, Gasoline, Electric, etc.

    Gross Weight
    ➤ Maximum legal weight (usually prefilled with 80,000 lbs for Class 8 trucks).

    Number of Axles
    ➤ Total axles on the truck. Common: 3 for tractors.


  • Step 2: Ownership Information

    ➤ Who owns the truck:

    • Company

    • Owner Operator’s

    • Contractor Owned

    Include to the IFTA
    ➤ Check this if the truck should be included in IFTA fuel tax reporting.


  • Step 3: Purchase Type
    ➤ Method of acquisition:

    • Company Owned

    • Rental

    • Leased

    • Lease to Own

    Equipment Provider
    ➤ Name of the vendor, leasing company, or seller (optional).


  • Step 4: In-Cab Inventory (Optional)

    Use Quick Add to link hardware installed in this truck:

    • Fuel Card(s)

    • Tolls & PrePass Devices

    • ELD Device(s)

    • Tablet(s)

    • Camera Device(s)

    • Other(s): Any additional cab equipment (scanners, trackers, etc.)

    These devices will be linked to fuel, toll, or safety transactions automatically.


  • Stickers (Optional)

    IFTA Sticker #
    ➤ Enter the official IFTA decal number (if assigned).

    HUT Sticker #
    ➤ For NY or other applicable states, enter the Heavy Use Tax sticker number.

Step 4: Save

Click Add to finish setup.
